# Event Tools

> Twelve optional tools you set up for your guests, grouped by what they're for: what each one does and when it's worth turning on.

Every event comes with invitations and RSVPs, registration and ticketing, broadcasts and its own dashboard. On top of that, **twelve event tools** switch on as you need them. You set them up on the Event Page, and guests use them in the browser from their invitation link, with no app to download.

On the Event Page, the **Tools** list shows all twelve. Tools you've switched on are marked **Active**, and the dashboard's **Mini Apps** tab shows how each one is doing.

They fall into four groups, by what they're for.

## Things you put together for guests to read

These make your invitation worth opening. Someone deciding whether to come wants to know what actually happens.

| Tool | What it does | Worth it when |
| - | - | - |
| [**Event Schedule**](/private-events/event-schedule) | A single or multi-day timeline guests can add to their calendar. Update it once and everyone sees the change. Optional check-in for each activity. | There's more than one thing happening |
| [**Event Lineup**](/private-events/event-lineup) | Speakers, performers and sessions in running order, with reminders before each slot. | People are coming partly to see someone |
| [**Event Folder**](/private-events/event-folder) | The right documents to the right people: one guest, all guests or a vendor. | There's something guests need to read beforehand |

## Things you ask your guests

These appear when guests RSVP or register, so it's best to switch them on **before** you invite. A guest who doesn't know their answer yet still learns you want it, and comes back when they do.

| Tool | What it does | Worth it when |
| - | - | - |
| [**Guest Preferences**](/private-events/food-beverage) | Food and drink choices, allergies and anything custom, collected before you order. | You're feeding people and someone needs numbers |
| [**Travel & Stay**](/private-events/travel-stay) | Each guest's arrival, headcount, luggage and room preferences, grouped so you can plan pickups and drop-offs. | People are coming from out of town or staying over |
| [**Gifting & Best Wishes**](/private-events/gifting) | Guests give if they want to, and leave a written, voice or video wish. | People will want to give something |
| [**Potluck Manager**](/private-events/potluck) | Who's bringing what, claimed by guests. No duplicate desserts, no last-minute gaps. | Your guests bring the food, not the venue |

## For guests on the day, and after

| Tool | What it does | Worth it when |
| - | - | - |
| [**Check-In**](/private-events/self-check-in) | Live arrivals from the moment it opens. Guests check themselves in at an RSVP Event; attendees are scanned by [QR code](/public-events/registrant-check-in) at a Registration Event. | You need a real count of who came |
| [**Real-Time Guest ETA**](/private-events/guest-eta) | How many guests are on the way, and when they'll arrive. | You're timing when the food goes out or the surprise happens |
| [**Photos**](/private-events/photos) | One shared album. Guests upload as they go, and nobody chases anyone later. | Afterwards, always |
| [**Feedback Corner**](/private-events/feedback-corner) | Ask guests while it's fresh, and see the answers and a summary on the dashboard. | You'll run this event again |

## For running the event

| Tool | What it does | Worth it when |
| - | - | - |
| [**Tasks**](/private-events/tasks) | Owners, dates, priorities and labels for everything that has to happen. Antsy follows up on overdue ones. | You're not doing this alone |

## Setting tools up

<Steps>
  <Step title="Pick what this event needs">
    A wedding usually needs Travel & Stay and Guest Preferences. A conference needs Event Schedule and Event Lineup. A dinner might need only Potluck Manager. You don't need all twelve.
  </Step>

  <Step title="Set each one up on the Event Page">
    Click the tool in the **Tools** list and fill it in.
  </Step>

  <Step title="Publish it">
    Most tools have their own publish or share step. Guests see a tool only once you publish it.
  </Step>
</Steps>

## When to set them up

**Before you invite, if you can.** Everything you've set up arrives with the invitation, in one message, while people are already reading.

You can still add tools at any time. Guests are told automatically, but not immediately: tools you switch on after the invitation are collected into **one update**, sent the next day.

* **Set up several tools on the same day** and guests get a single update. Spread them across a week and guests get a message a day.
* **A tool that asks guests for something,** switched on within two days of the event, leaves them little time to answer.

<Tip>
  Let [your connected AI](/platforms#connect-your-ai) set tools up for you: "Set up the schedule for Saturday: welcome drinks at 7:30, dinner at 8, cake at 9:30, and publish it. Then create a potluck with mains, salads and desserts."
